Get Fler AB (GetFler) values your privacy. This policy describes your right to privacy and our commitment to safeguarding your personal data. GetFler is a European company with technical systems applied across borders. This privacy policy applies to all GetFler’s processes, routines, websites, databases, domains, mobile solutions, cloud services, networks, as well as all websites operated by GetFler.

Personal data refers to any information that can identify you as an individual, such as your email address, home address, or phone number.

What personal data does GetFler process?

GetFler processes personal data about job candidates, contact persons, customers as well as software users linked to our customers accounts. We also process personal data about potential customers and those who contact us via websites, phone, email, social media or other channels. We may also process personal data on behalf of our customers from time to time, where the customer is the responsible party.

GetFler may process the following personal data about you:

  • Basic contact details such as name, address, phone number, email, social usernames and URLs to personal pages.

  • Additional information for candidates such as date of birth, employment history such as employer, job title, position, length of employment, and business-related preferences.

  • Educational history, qualifications, dates, certifications & skills

  • Visa and other right to work or identity information

  • Personal information relating to hobbies, interests and pastimes, typically collected from interviews (which may be recorded)

  • Information contained in references and pre-employment checks from third parties

  • Content you've uploaded or otherwise shared, like photos, videos, and documents.

  • Feedback, comments, or questions about GetFler or our products and services.

  • User and web traffic details such as login ID, username, and IP address.

  • Statistics that display how users utilize our services and consume any content we offer.

How we collect your personal data 

GetFler collects personal data using a number of sources and methods, both directly from you during an interview or conversation or indirectly via other persons or systems connected to your employment during a reference check etc, as well as other sources. 

We use cookies and other tracking technologies when you visit GetFler websites or when you contact us to enhance your experience. More about how these technologies work and your rights in this regard can be found in our Cookie Policy section.

We might also gather data about you from other sources. These can be third-party data collectors, GetFler's marketing partners, public sources, or third-party social networks. GetFler can combine personal data about you from one source with data obtained from another source. This provides a more complete view of you, enabling us to better cater to your needs.

Why we process personal data

For us to provide services to you and other clients, we must process your personal information. We process your personal data for various purposes, such as:

  • Purchase and Delivery

    • Handle customer orders, contracts, and payments.

    • Provide our services and provide systems for our customers

    • Promote products and services.

    • Create and manage user accounts.

  • Support and Improvement

    • Improve and refine the quality, functionality, and user experience of our products, services, and websites.

    • Offer support for our products and services.

    • Operate user forums to educate and facilitate interaction between users and GetFler.

    • Improve our services, for example by researching and evaluating customer satisfaction or the market

    • Detect, remedy, and prevent security threats and misuse and perform maintenance and troubleshooting.

    • Create interest profiles for marketing relevant products.

  • Recruitment

    • Handle recruitment processes and job applications.

    • Assess submitted documents, conduct interviews, and make reference calls.

Legal basis for processing your personal data 

GetFler processes personal data based on multiple legal grounds:

  • Agreement with you: We process your data based on a legally binding contract, e.g., when you apply for a job at GetFler or at a customer we are assisting with recruitment services or we provide you with a service you have requested.

  • Your Consent: You can always retract your consent after it's given.

  • Legal Obligation: We may process personal information to fulfill a legal obligation such as accounting or other record keeping.

  • Legitimate Interest: GetFler has a legitimate interest when processing your personal data for security, support, improvement and fulfillment, or when you act as a contact person for an existing or potential customer, or when we process your information to benefit you as a potential candidate for new employment opportunities. Your data is processed from a business perspective in a manner we believe does not conflict with your rights as an individual.

How we share your personal data
  • Within the GetFler Group: To provide optimal customer service and experience, we share your personal data within the group.

  • Outside the GetFler Group: We only disclose data to third parties who have sufficient security and confidentiality commitments.

    • Business Partners: For business-related reasons and in line with applicable data protection laws. 

    • Public Authorities: Only when required by a court or similar mandate.

    • Mergers and Acquisitions: The acquiring entity and its consultants might access data during mergers or acquisitions.

  • As we operate globally, it may be necessary to transfer your Personal Information to countries outside the European Union. By using our services you consent to the possible transfer of your Personal Information to countries outside the European Union.

How long are your personal data stored?

Your Personal Data will only be processed for as long as it is necessary for the purposes for which it was collected – for example, as long as we must fulfill the obligations we have as a result of an agreement with you.

We may save the data longer if required by law or to safeguard our legal interests, e.g. whether a legal process is in progress.

Your Rights

You have the right to access your personal data by requesting an overview of the personal data we process about you, and you also have the right to data portability. You can also request that GetFler corrects any inaccurate personal data about you.

Furthermore, you have the right to request the deletion of your personal data, restrict the processing of your data, and object to the processing as per this privacy policy and other service-specific terms.

Lastly, you also have the right to lodge a complaint with us at support@getfler.com or directly to The Swedish Authority for Privacy Protection regarding our processing of your personal data.

Marketing and Profiling Legitimate Interest

When you engage with GetFler, such as visiting our web pages, downloading content, participating in webinars, or using our services, we process your personal data based on a legitimate interest. One of these interests is direct marketing.

GetFler uses your personal data to provide relevant content via direct marketing on social media platforms, emails, web pages, or within our service, based on your preferences. The data processed includes aggregated data about you, such as IP address, interests (click behavior), username, and device. This is done, for instance, through cookies, termed as profiling. We may combine this data with information about our customer relationship with your company.

The purpose of profiling is to deliver tailored marketing to you, enhance your experience with our services/web pages, and offer products that satisfy our clients. As our services are primarily tools for work-related purposes, your behavior within these tools offers minimal insights into your private life. No sensitive data is processed. We process your data from a business perspective in a manner that we believe doesn't conflict with your rights and freedoms as an individual.

Emails are used for marketing communication, but only with your consent in compliance with applicable marketing laws. If you've given consent, you'll always have the opt-out option as described below or within emails containing marketing materials.

Right to Opt-Out of Marketing Communication

You have the right to opt-out of receiving marketing materials from GetFler and be exempted from profiling. Opt-out by unsubscribing directly from the newsletter sent by us, or contacting us via email at support@getfler.com.

You can always opt-in/out of cookies on specific GetFler web pages through our cookie banner.

Note: Opting out of marketing materials does not exempt you from receiving administrative information from GetFler, such as order confirmations, updates or notifications vital for managing your account with our services.

When Does Fler AB Use Sub-processors?

We utilize sub-processors for data processing. Typically, these are cloud service providers or other IT vendors.

When subcontractors are employed, we sign agreements regarding data processing to safeguard your rights and meet our obligations to our clients. If subcontractors are located outside the EU, we ensure legal grounds for such international transfers, including the application of the EU's Standard Contractual Clauses (SCCs).
